A Detailed Look at the Features
of ATPmail Pro

Layout Options

ATPmail offers a number of different layout options for the main screen. There are three different controls you can use to change the layout.

  • General Layout ( , , ) - pressing this button cycles through the different layout options available with ATPmail. This button is located right below the logo in the upper left of the window. The number on the button changes depending on the layout.
  • Left Column Layout ( , ) - pressing this button changes the layout of the screen so that either the left column extends to the bottom of the screen, or the lower window extends to the left edge of the screen. This button is located on the left side the middle function bar.
  • Full Screen Mode ( ) - this button will expand the lower window to cover the full window. This is available for the task list or an email message.

Main Menu

The main menu of ATPmail can be located either on the top of the main page, or in the middle bar, depending on your layout.

  • Check Mail button – press this to check all email accounts. It is not necessary to press this button if you set ATPmail to periodically check your mail from the preferences. Checks accounts set up in Account Setup.
  • Compose button – press to compose a new message. Opens Compose window.
  • Files button – opens the ATPmail Files Window, or Web-drive, used to save and manage files, accessible from anywhere.
  • Address Book menu
    • Open Book – opens Address Book Window, used for managing your address book.
    • Search Book – searches entire address book and opens new window with search results. All information stored for each contact found is displayed, along with a links to compose or edit the contact information.
    • Add Contact – opens a new window for adding a contact to your address book.
    • Categories – opens a new window to manage ATPmail Address Book Categories
    • Import and Export contacts from and to most other applications. Works with comma separated database files.
  • Search menu – for searching your mailbox. Results are displayed in mailbox, categorized by folder.
    • Search All Fields – opens Search Window for searching mailbox based on folder, date of email, and sender, subject, or body of email.
    • Quick searches for sender (or recipient for sent mail), subject or body of email. Searches entire mailbox. Remembers last search term.
  • Options menu
    • Account Setup – used for setting up incoming and outgoing account information.
    • Preferences – used to customize ATPmail to your liking.
    • Mail Filters – used to manage mail filters.
    • Change Password – changes password used to log into ATPmail.
    • Log File – shows a log file showing recent activity by ATPmail.
  • Logout button – logs out of ATPmail and shuts all open windows. If the compose screen is open and an email is being worked on, a warning will be displayed, and the logout can be canceled.

Mail Functions   top of page

This group of buttons can either be on the middle function bar, or in the left column, depending on your layout.

Buttons that work on "selected" messages will act either on the message you are reading, or messages which are selected in your folder.

Putting your mouse over amy of these buttons will display a short description of the function. Right-clicking on any of the functions will display a more detailed description.

  • Delete button – click to delete selected email.
  • – click to move selected email. After you click this button, you select the folder to move to from your folder list. You can create a new folder to move to by selecting "new folder" from the folder list.
  • Select Unread Mail button – click to select all unread email shown in your folder. This is useful for bulk cleaning of unwanted messages. Much quicker than checking each box individually.
  • Spam Filter button – blocks mail by same sender as selected email. A dialog box will open in order to confirm or edit any filters.
  •  Needs Response button – click to mark selected email as “Needs Response”. Messages marked like this will be shown in a special folder called "Needs Response" until they are responded to or deleted from the folder. Marked messages in your mailbox will also be shown with a special icon () next to the subject to indicate they need a response.
  • Link Mail to Task button – click to create a new task with selected email attached. You can attach multiple emails to a task, and access those emails from your task list.

Message List   top of page

The top half of the main ATPmail window always shows a list of  emails. Generally, it contains messages from a folder you are viewing, but it is also used for search results, and viewing email attached to a task.

  • Checkboxes for selecting multiple emails, for deleting, moving, adding spam filters, marking as Needs Response, or attaching to a task.
  • Select all messages, or clear all selected messages using the topmost checkbox.
  • Click on the subject to open message for reading. Loads in the lower part of main ATPmail screen.
  • Double-clicking on subject opens message in new window. Useful for printing, or expanding viewable area of message.
  • Shows icon for each reply () and forward () to a message. Clicking on the icon displays the mail you sent out, so you don't have to search your "Sent" folder to find your reply.
  • Clicking on sender's email address starts a new message to that email address in the Compose Window.
  • Paper clip icon when email has an attachment. Move mouse over icon to see attachment name.
  • Sort messages by date, subject, sender, or size. Default sort is the order they arrived into your mailbox. That way a faulty date in an email won't affect the default order.
  • Date shown will show day of week and time sent, but not year, for 6 months. Messages older than 6 months will show date and year it was sent.
  • Icon when email is attached to a task (). Clicking on the icon opens the task in the lower window.
  • Icon when message Needs Response ().
  • Right-click on any message to bring up a menu of powerful function, which will act on the mail without opening it.
    • Search For Other Mail From Sender
    • Add/Edit Contact Info of the sender.
    • Needs Response or Remove Needs Response to mark or unmark as message as Needs Response.
    • Block Sender sets up a filter so that mail from this address will be deleted in the future.
    • Block Subject sets up a filter based on words in the subject of the mail.
    • View Raw Email displays the message in an unprocessed form which avoids displaying images, html, or any other potentially harmful attachments. In addition, all headers in the email can be seen.
    • Reply to or Forward the message.

Folder List   top of page

  • Number of unread messages shown next to folder name.
  • Click on folder name to open folder.
  • Mouse over folder name displays number of messages in folder and folder size.
  • Click on "New Folder" to create folder.
  • Disk quota displayed in bar graph above folder list. Mouse over quota to see actual disk usage.
Right-clicking on a folder brings up a menu for the folder.
  • Move Selected Here moves selected messages to the folder. Only available when a message is selected.
  • Move Folder allows you to change the order of your folders. All changes are saved
  • Rename Folder
  • Move Mail to Trash moves all messages in the folder to the trash.
  • Delete Folder is only available when a folder is empty.

Task List / Calendar / Notepad   top of page

Layout Options allow you to hide the task list, calendar, notepad, or everything. Also allows the elements to be stacked on top of eachother or shown side by side.

The Task List shows all tasks for a range of dates. The default view is one week, starting from the current date. Change the starting date by clicking on a date in the calendar.

  • The top of the Task List displays the range of dates being shown and the number of days being shown. Clicking on the number of days allows you to set this value.
  • Each task shows task subject, whether task has additional details, attached email, and whether if it repeats.
  • Icon representing task has additional text details. Putting your mouse over this icon shows the details.
  • Icon representing task has email attached. Click on the icon to view the email.
  • Put your mouse over the repeat icon to see when the task repeats.
  • Click on a task to edit task, or to add selected email to the task. Email must be selected in message list before being added.
  • Delete button () will warn if task repeats, to remind you that all instances of the task will be deleted.
  • Undated Tasks act as a todo list. The undated tasks are always present.
  • Printable will open a new window for printing tasks.
The Monthly Calendar shows a variable number of months depending on available space.
  • Monthly calendar.
  • Click on a day in
  • Any date with tasks due that day will be shown with an asterisk (*) next to the date.
  • Put your mouse over any date with tasks due and a list of those days tasks will be displayed.
  • Change the months shown forward or backward with the arrows on either side.
  • Show Current resets the date to the current date.

The Notepad is a place to write notes.

  • Send To... sends the contents of the notepad to a new task, an existing task, or an email.

Edit Task Screen   top of page

This screen temporarily replaces the Calendar / Task screen in the lower half of the main window. When you leave this screen, the calendar will return. Enter this screen by pressing the "New Task" button from the Calendar Screen, or when editing an existing task.

  • Enter one line subject for task.
  • Enter additional text details for task.
  • Set priority of task, from low to high.
  • Shows list of attached email, along with details.
  • Add Selected Email to task.
  • Select Date for task using calendar, or leave date blank for undated task.
  • Select start time and end time.
  • Set task repeat. Many repeat options are available, including daily, weekly, monthly, yearly, weekdays, weekends, and more. Also repeat on 2nd Monday of each month, or a variation of that.
  • Set date to end repeat. Task will repeat up to and including the end date.

Read Mail Screen   top of page

When you click on the subject of an email in your mailbox, the message will be displayed in the lower half of the main window. To open the message in a new window double-click on the subject.

  • Reply to sender or Reply to All recipients of email.
  • Forward email.
  • Resend email exactly as is to someone.
  • Save text of email.
  • Printable view of message opens in new window.
  • Download attachments to PC.
  • Save attachments to ATPmail file storage area, for access from anywhere, or to attach to another email.
  • Delete attachment from email in order to save disk space, but still retaining a record of the correspondence.
  • All URLs (beginning with http:) open a new window, to save your ATPmail environment.
  • Add all email addresses in the email to your address book with one click.

Compose Window   top of page

This window is opened when you press the Compose button from the Main Menu, or when you are replying or forwarding a message.

  • Select account to send mail as, when you have multiple accounts. You can send mail out with several different email addresses.
  • Select recipients with a nickname. This is a special field in the address book which acts the same as entering in the full email address for the person.
  • Select recipients by searching the address book. For each of the recipient fields (To, Cc, and Bcc), a search window can be brought up to quickly search the address book for first name, last name, or email address.
  • Select recipients from full address book. View the whole book, select the check boxes next to the contacts you want to add, and press the compose button.
  • Warning when email is sent if no subject is given.
  • Save draft, restore draft, or delete draft from compose screen.
  • Option to retain draft after it is sent, so it can be reused.
  • Special care is taken in ATPmail Pro to make sure you don't lose an email you are working on. You will always be given a warning if you are about to lose an email you are working on.
  • If compose screen is accidentally closed while it is being worked on, you will be given the option to save the email you were working on. The next time the compose screen is opened, the working email will be restored.
  • If you attempt to log out with a working email in the compose screen, a warning will be given, and you have the option to cancel the logout.
  • If your ATPmail session times out, and you are logged out, while you are working on a message, the message will be saved, and will be available the next time the compose screen is opened.
  • Spellcheck button loads the Spellcheck Screen.
  • HTML mode. Allows you to send an email with variable fonts, font sizes, bold, italics, and underlined text, indented text, different font colors and background colors, and the ability to undo and redo changes. HTML mode can be turned on and off from the compose screen. In addition, there is a “view HTML” mode to view or edit the actual HTML that will be sent.
  • Add multiple attachments from your ATPmail Web-drive. There is no limit to the number of attachments that can be added.
  • Upload file to your ATPmail Web-drive.
  • Option to delete files from ATPmail Web-drive after sent with email.
  • When replying to or forwarding a message, the attachments from the original email are individually selectable.

Spellcheck Screen   top of page

Enter this screen by pressing the "Spellcheck" button from the compose window.

  • Entire message is displayed at once, with misspelled words underlines for easy viewing.
  • Click any misspelled word to correct the spelling.
  • Select correct spelling from a list of alternatives, or enter a replacement.
  • When all words are correctly spelled, the compose screen will return.
  • When you are done with the spellcheck, you can either return to the compose screen, or send the mail from the Spellcheck screen.

Files Window   top of page

This window is opened by pressing the Files button from the Main Menu.

  • Upload files from your PC to ATPmail, for access to those files from anywhere. From the ATPmail Web-drive, you can download the files, or attach them to outgoing emails.
  • Create folders to organize the files.
  • Move files to the folders.
  • View file. This opens a new window and displays the file.
  • Rename files or folders.
  • Shows path to current folder at top. Clicking on any sub-folder opens that folder.
  • Shows details for current folder, including size in kilobytes, number of sub-folders, and number of files.
  • Shows number of files in each sub-folder.
  • Shows file name, date created and size.

Address Book Window   top of page

This window is opened by selecting View Book from the Address Book drop-down in the Main Menu. It's really only necessary to open the Address Book Window in order to create groups, or peruse all the people in it. Searching the address book is more easily done from the Main Menu, or the compose screen.

  • Import contacts from most other applications.
  • Export contacts to most other applications.
  • Add the following for each contact:
    • First name
    • Last name
    • email addresse
    • nick name, can be used in compose screen as shortcut
    • six phone numbers
    • home address and personal notes
    • work address and work notes
  • Sort book by first name, last name, email address, or nickname. Whatever you sort by will be remembered and will be the default order the next time the address book is opened.

  • Delete multiple contacts.
  • Create email groups. Just enter the group name in the compose screen to send to the group.
  • Quick search of book shows all matching contacts.

Address Book Categories   top of page

Categories are managed by selecting "Categories" in the Address Book menu. Categories provide a way to recognize and sort incoming email depending on who sent it. They also provide a powerful method for dealing with unwanted email (spam).

  • Create categories and assign a color coding and/or a folder. Two special categories exist, "No Category", for any contact not assigned a category, and "Auto Added", the default category when ATPmail automatically adds contacts to your address book, based on outgoing email.
  • Each contact in your address book can be assign a category.
  • Incoming mail will be looked at to see if the sender is in your address book.
  • Incoming mail can be color coded, so you immediately see your relationship with the sender. You can also see which senders are not in your address book so you know to add them.
  • Incoming mail can also be sorted depending on the category of the sender. This function can be used to organize all incoming mail, but also to separate mail from senders not in your address book. Since most mail we want to see comes from people in our address book already, this is useful for dealing with unwanted mail.
  • Categories can be renamed, and the color and folder options can be changed.

Account Setup Screen   top of page

Accessed through the Options menu.

  • Add new account. Opens Edit Account Screen.
  • Edit existing account. Opens Edit Account Screen.
  • Delete existing account.
  • Check account for new email.
  • Make account the default for outgoing email. If you have multiple accounts, one of them must be the default account used when sending an email. You can still change the account to send from in the Compose Window.

Search Window   top of page

  • Select multiple folders, or all folders.
  • Search before, after, or on a date.
  • Search for subject, from, to, or body of the email.
  • Combine all options for targeted search.

Edit Account Screen   top of page

Accessed through Account Setup Screen.

  • Set up identity for outgoing mail (reply address and name sent with email).
  • Set up POP account information. Enter POP server, user name and password for account.
  • Test POP account settings. Checks information entered and displays the number of messages on the server.
  • Clean POP account. Downloads any new messages and delete all messages from account. Used in conjunction with “only download new messages” to periodically clear mail server of old mail.
  • Option to delete mail from mail server after downloading. Unselect this option to save a copy of all mail on your mail server.
  • Option to only download new messages.
  • Option to use apop for send secure passwords.
  • Signature when sending from this account.
  • Select folder in which to place incoming email.
  • Select folder in which to save outgoing email.
  • Select default category for this account. When you send mail from this account, if the recipients are not in your address book, ATPmail will add them. This will be the category they will be added into by default.
  • Color code mail from this account in the mailbox, to easily recognize which account new mail is from.

Accessed through Options menu.

  • Change font size for program.
  • Adjust number of messages shown per page in mailbox.
  • Set ATPmail to automatically check mail on login.
  • Set ATPmail to automatically check email periodically.
  • Turn off popup confirmation when new mail arrives.
  • Turn off popup confirmation when mail is sent.
  • Turn off popup confirmation when a calendar task is due.
  • Set default warning time for calendar tasks. This warning can be changed on a task by task basis when editing the task, but this is the default.
  • Turn off automatic saving of outgoing mail. The default is to save a copy. This option can be changed on a mail by mail basis from the compose screen.
  • Since you already have a copy of any attachments you send, you can set an option to not save outgoing attachments in your sent folder in order to save space.
  • Turn off automatically adding outgoing email addresses to your address book. By default, when you send a message, ATPmail will add the email addresses you send to into your address book.
  • Show all email headers. This can be done on individual emails using the “View Raw Email” option in the right-click menu in your mailbox.

Mail Filters   top of page

  • Add filter based on from address, to address, or subject of incoming email.
  • Add filter based on any arbitrary header field.
  • Filter can delete message, in which case you will not get any notice of the email, except in the ATPmail log file. These filters will not be applied to emails sent from people in your address book.
  • Filter can send the mail to a particular folder.
  • Shows statistics for each filter, so it is possible to see how often the filters are used, when they were last used, and how long ago they were created.
  • Sort filters based on when last used.
  • Search filters for a particular string.

The single user version of ATPmail differs from the multi-user version in a few ways. There is no admin script, no quota is enforced, and there is no user name. Login is done with just a password. In all other respects, the two version are identical.
